Refund and rescheduling policy
This policy applies to paid consulting engagements with Site Orchard Hub Consulting Co., Ltd., including audits, workshops, mystery guest reviews, and service recovery planning.
Eligibility overview
Fees relate to professional time, travel preparation, and reserved calendar dates. Refunds depend on how much notice you give and how much work has already begun. Website content and informational rate guides are free and not subject to refund.
Deposits
A deposit stated in your proposal secures engagement dates. Deposits are credited toward the final fee. If you cancel within the windows below, deposit treatment follows those rules.
Cancellation by the client
- 14 or more days before the first scheduled on-site or workshop day: full refund of fees paid for unused work, minus any non-refundable third-party costs already incurred (for example prepaid travel booked at your request).
- 7 to 13 days before: 50% refund of fees paid for unused work, or credit toward a new date within six months at our discretion.
- Fewer than 7 days before, or failure to provide agreed access on the day (no-show of key contacts / denied site access): fees for that reserved block are non-refundable.
Work already started
If discovery calls, document review, or on-site observation have begun, we invoice for completed portions on a reasonable-time basis and refund only unused prepaid amounts after that deduction.
Partial refunds
Where a multi-day engagement is shortened by mutual agreement, unused full days may be refunded or credited. Partial days already started are charged in full.
Non-refundable items
- Completed mystery-guest visits once the stay or meal has occurred
- Custom printed materials already produced for a workshop
- Third-party booking costs advanced on your written request
Rescheduling
You may request one complimentary reschedule with at least 10 days’ notice, subject to advisor availability. Further reschedules or short-notice changes may incur a reasonable administrative fee stated in writing.
Cancellation by us
If we must cancel for reasons within our control, you may choose a full refund of amounts paid for the cancelled work or a new date at no extra charge for the same scope.
Refund process and timing
Email hello@siteorchardhub.click with your proposal reference and reason. Approved refunds are processed within 14 business days to the original payment method where possible. Bank transfer refunds may require additional account details.
